Forward Deployment Consulting

Aftersales desk for equipment and truck dealers

Every warranty claim complete before it goes in.

We run the desk side of your aftersales department from start to finish: warranty claim packs, quote follow-up and service reminders. You get complete, checked work and a weekly report. Your own warranty user still submits on the manufacturer's portal.

For agricultural, construction, plant hire and truck dealers in the UK, Australia and the US. Nothing to install.

The problem

The desk work is what falls behind first

80%

of US equipment dealers cannot meet service demand

Technicians are short, and the admin behind them gets stretched across whoever is free.

41%

of technician vacancies filled at Australian dealers

Parts interpreter roles fared little better, at 44%. Desk roles sit open for months.

Days

lost to every claim that goes in incomplete

A missing photo, hour reading or op code means a query or a rejection, and money that arrives late or not at all.

Sources: Equipment World (September 2026); CNH dealer survey reported in Australian trade press (2025).

A claim today

  1. Repair finished, job card sits in a pile
  2. Admin chases the technician for photos and hours
  3. Narrative written from memory days later
  4. Claim goes in with a missing field
  5. Query or rejection, then the resubmission loop

With the claim desk

  1. Closed repair order picked up the same day
  2. Missing evidence requested from the technician by name
  3. Pack built in the manufacturer's field order
  4. Every line checked against the OEM checklist
  5. Your warranty user submits a complete pack

What we do

Three desks, run for you

Start with one. Each is set up around your brands, your systems and your rules.

Start here

Warranty claim desk

  • Checks each repair order before it becomes a claim
  • Chases technicians for missing photos, hours and codes
  • Builds the pack in your manufacturer's field order
  • Tracks every claim to credit and drafts replies to queries
  • Monthly report on why claims are rejected

Add-on

Parts and repair quote follow-up

  • Follows up every open quote within 24 hours
  • Writes in your name, from your own mailbox
  • Sorts the replies and hands buyers to your parts team

Add-on

Service and PM reminders

  • Finds machines due by hours or date
  • Sends plain service reminders by email or WhatsApp
  • Offers slots and passes bookings to your workshop

How it works

Your systems stay. We do the work.

  1. Your work comes in

By forwarding address, a scheduled export or a connection to the system you already use. No new software for your staff.

  2. We prepare it

Claim packs, follow-ups and reminders are prepared using your brands, rates and rules.

  3. Every item is checked

Each item is checked against your rules and the manufacturer's checklist before it leaves. Anything unusual goes to our warranty specialist.

  4. You get the result

Messages go from your own mailbox, your warranty user submits a complete pack, and you get a weekly report.

Scope

We handle the desk. You keep the decisions that are yours.

We handle

  • Checking repair orders and chasing missing evidence
  • Building claim packs and tracking them to credit
  • Drafting replies to claim queries and rejections
  • Following up quotes your customers asked for
  • Service reminders and booking requests
  • A full record of every step, and a weekly report

Stays with you

  • Submitting on the manufacturer's portal, with your own login
  • Warranty coverage and goodwill decisions
  • Prices, discounts, stock and lead times
  • Diagnosing faults and giving safety advice

Why us

Built by people who have done the job

A good claim is won before it is submitted. That knowledge is what we build into every pack.

Our founders bring years of hands-on work in agricultural and construction equipment parts, warranty administration and dealer management. We know what a manufacturer rejects, which photos it asks for, and how long a claim can sit before the window closes.

We are a small team, and we take on a limited number of dealers at a time so every dealer gets proper attention.

Free claims check

See what your last 20 claims were missing

Send us 20 recent claims with personal details removed. Within five working days we send back a short report: which claims had gaps, which were close to the deadline, and the rejection reasons that repeat. No software to install, no obligation.

Start small

A paid 30-day pilot on one desk

We agree the measures with you up front: claims complete first time, days from repair to submission, quotes followed up. You see the results before you commit.

How pricing works: a fixed monthly fee per desk, plus a small fee per claim pack your warranty user accepts. The pilot price is fixed in writing before we start, and it is designed to come in well under the cost of hiring for the role.

If a claim is queried or rejected because of an error in our pack, we rework it at no charge.

  1. 15-minute call about your desk and your brands
  2. Short written proposal with the pilot price and measures
  3. One week to connect your mailbox or exports and test on past claims
  4. 30 days live, with a weekly results report
  5. Review together, then decide

Reporting

What you see every week

  • First-time acceptance Claims accepted without a query, against your rate before we started
  • Repair to submission Days from repair order close to a complete pack
  • Deadline risk Claims within 14 days of the manufacturer's window
  • Money recovered Credits received, by brand

Claim packs follow each manufacturer's own requirements, including John Deere, CNH, AGCO, Kubota, JCB, Caterpillar, Volvo CE, Scania and DAF. We are independent and not affiliated with any manufacturer.

Questions

What dealers ask us first

What do my customers see?

Messages come from your own mailbox, in your dealership's name. Where the law requires it, messages say they are sent by an automated assistant for your aftersales team, and a person is always available.

Will you submit claims on the manufacturer's portal?

No. We build a complete, submission-ready pack. Your own warranty user submits it. Manufacturer terms generally forbid third-party automation on their portals, and we respect that.

Do we have to change our dealer management system or CRM?

No. We work from forwarding addresses, scheduled exports or a connection to what you already use.

What happens to our data?

We sign a data processing agreement with every dealer before any data moves. Each dealer's data is kept separate, nothing is used to train AI models, and we list every service provider we use.

What if something goes wrong?

Every item is checked against your rules and the manufacturer's checklist before it leaves, and anything unusual goes to our warranty specialist. Every step is logged, and if a claim is queried or rejected because of an error in our pack, we rework it at no charge.
